Part 1 Β· Membership & Hierarchy

1.1–1.4 1. Getting Started+
SchoolZoneChapterState

What is the Member Portal?

The Member Portal is where every school and every Zone, Chapter and State officer manages their own information β€” contact details, membership records, dues, events and exams. It works entirely in a web browser; nothing to install. There are two broad account types: a School Account (one member school) and an EXCO Account (a Zone, Chapter or State officer). One login can hold both β€” see Section 3.6 below.

Registering a new account

  1. Open your State's portal address and click "Register for an AFED account" (under the Log In box).
  2. Choose whether you're registering as a Member School or a State/Chapter/Zone EXCO Officer.
  3. If you're also the other type, tick the extra box to register both at once.
  4. EXCO: choose Officer Level, State, Chapter/Zone, then your Title. School: choose your Zone and fill in School Details.
  5. Fill in your personal details β€” name (surname first), phone, working email. WhatsApp is optional but recommended.
  6. Schools also tick every level offered (Nursery/Primary/Secondary) and enter pupil numbers for each.
  7. Choose a password (8+ characters), confirm it, and click "Create Account".
Tip: Every field marked with a red asterisk (*) is required. If the form won't submit, scroll up for a skipped field.

After submitting you'll see a "pending approval" confirmation. You can log in to check status, but won't see your full Dashboard until an EXCO officer approves the registration.

Logging in

Go to your State's portal address, click "Log In" (or the /afed-portal/login/ page directly), enter your Username or Email and Password, and click "Log In". Passwords are case-sensitive β€” check for stray spaces if it's rejected.

Forgot your password? Click "Forgot your password?" on the Log In page, enter your username or registered email, then follow the reset link sent to your inbox (check spam/junk too).

Waiting for approval

  • A School registration is approved by an EXCO officer of that Zone (or its Chapter/State officers).
  • A Zone or Chapter EXCO registration is approved by an officer at that level or above.
  • A State EXCO registration can only be approved by the System Provider's platform administrator.

While pending, logging in shows a "Welcome" page listing your pending registration(s) instead of the full Dashboard β€” simply wait, or follow up with your relevant EXCO officer.

2.1–2.7 2. Your Dashboard+
SchoolZoneChapterState

The Dashboard is the first page after logging in. What it shows depends entirely on your account type and level. Badges under the welcome message show exactly which account(s) you're logged in as β€” every seat you hold appears here.

School Account Dashboard

  • Your school's profile summary β€” name, registration code, contact details, address.
  • A table of levels offered (Nursery/Primary/Secondary) and pupil population at each.
  • Quick actions such as "Pay Dues" and "Events".
  • A section to add another branch (Section 2.6) and to also register as EXCO (Section 2.7).

Zone / Chapter / State EXCO Dashboards

A Zone officer sees a "Member Schools" count, Membership cards (Total/Male/Female), School-type cards, and quick actions scoped to their own Zone. A Chapter officer sees the same, combined across every Zone in their Chapter, plus a Zones count. A State officer sees the widest view β€” Chapters, Zones and Schools for the whole State β€” plus a "Manage Hierarchy" action only State officers (and the System Provider) get.

Multiple school branches

If you manage more than one school, a "Your Branches" list appears with a "Switch to This Branch" button on each β€” whichever is Active is the one Dashboard, Pay Dues and Events apply to. To add a branch, use "+ Add a new branch", fill in the same details as first registration, and submit β€” it starts pending until that Zone's EXCO approves it.

Holding both an EXCO seat and a School

If your login holds both, a switch near the top of your Dashboard labelled "EXCO Dashboard / School Dashboard" lets you flip between views instantly β€” nothing is lost, and your choice is remembered next login. If you only hold one, look for "Also an EXCO Officer?" (School Dashboard) or "Also Own a School?" (EXCO Dashboard) to add the other seat under the same login. The new seat starts pending, needing its own approval.

3.1–3.5 3. Understanding the AFED Structure+
ZoneChapterState

AFED runs four levels: National β†’ State β†’ Chapter β†’ Zone. Schools aren't part of this structure themselves β€” each simply belongs to one Zone. School Accounts have no access to the Hierarchy page.

  • A Zone officer sees and can rename only their own Zone (nothing to add below a Zone).
  • A Chapter officer sees their Chapter and every Zone beneath it, and can add new Zones under it.
  • A State officer sees the whole State and can add new Chapters and Zones anywhere in it.

Adding a Chapter or Zone

  1. On the Hierarchy page, find "Add New Node".
  2. Choose the Level (only levels you're allowed to add are offered).
  3. Choose the Parent (Chapter for a new Zone, State for a new Chapter).
  4. Type a Name and click "Add Node".
Contact the System Provider: only a Site Administrator can create a new State or the National level. Contact them if your State isn't on the system yet.

Renaming, deactivating and deleting

Click "Rename" beside a node to edit its name in place. "Deactivate" hides a Chapter or Zone from active lists while keeping its history β€” use this once it's no longer operating. "Delete" permanently removes a node and only works once it's deactivated and has nothing left underneath it; deleting cannot be undone.

4.1–4.9 4. Managing Member Schools+
ZoneChapterState

"Schools" is where EXCO officers view and maintain every Member School within their scope β€” Zone officers see their Zone, Chapter officers their whole Chapter, State officers their whole State.

Tip β€” two codes: "Code" is auto-generated the moment a school is added (e.g. "IKO-014") and is always present β€” use it as the short reference. "Reg. Code" is AFED's official registration number, entered by hand once issued, and is often blank β€” that's normal.

Searching, filtering and the Summary bar

Search by name, proprietor, phone, code or registration code; filter by State/Chapter/Zone (Zone list narrows automatically when a Chapter is chosen) and by Status (Active/Pending/Rejected/Inactive). Everything updates instantly β€” no Search button needed. A collapsible "Summary" bar above the table shows live counts (Chapters, Zones, Schools, and pupil totals by level) matching whatever is currently filtered.

Adding, viewing and editing a school

  1. Click "+ Add School", fill in Zone, Name, Reg. Code (if known), contact details, address, School Type(s) and pupil numbers, then Save. The School Code is assigned automatically β€” you never enter it.
  2. Click "View" beside any school for its full profile.
  3. Click "Edit" to update fields, then Save. The School Code field is pre-filled and rarely needs changing β€” the system blocks a code clash with another school.

A State EXCO officer editing a school also sees an option to move it to a different Zone β€” not available to Chapter or Zone officers. Only State officers (or the System Provider) can do this, to prevent accidental reassignment lower down.

Deleting a school & linking an existing login

"Delete" hides the school everywhere in the portal but keeps its payment and event history β€” not a permanent, irreversible removal. Use "Link Account" on a school's profile to connect an existing login to that school record (e.g. a new administrator taking over) β€” it then appears on that user's own School Dashboard.

5.1–5.6 5. Managing EXCO Accounts+
ZoneChapterState

"EXCO Accounts" is where officers manage who holds an EXCO seat within their own scope. Click "View Details" beside anyone for their full profile.

Linking a user, editing a title, moving or revoking

  1. Link a User β€” appoint an existing website user as an officer without a separate registration: pick the User, the Hierarchy Node, the Role/Title, then "Link User". If the person has no account at all, it's usually simpler to have them register and then approve them (Section 6).
  2. Edit Role β€” click "Edit Role" beside an officer, choose the new Title, click "Save Role".
  3. Move (State EXCO only) β€” reassigning an officer to a different Chapter or Zone.
  4. Revoke β€” click "Revoke" and confirm; anyone managing that node or a level above it can do this, not only the officer who originally approved them.

Customizing officer titles (State EXCO only)

Every State can set its own wording for titles at State, Chapter and Zone level via the "EXCO Titles" panel at the bottom of the page β€” rename an existing title, remove one (current holders keep it, it just won't be offered going forward), or add a new one.

6.1–6.2 6. Approving New Registrations+
ZoneChapterState

Any new School or EXCO registration (or an added branch/second seat) appears under "Approvals" until someone with authority over that Zone/Chapter/State approves or rejects it. You may see up to two lists: EXCO Registrations and School Registrations. An empty list simply means nothing is waiting.

Find the entry, then click "Approve" to activate it immediately, or "Reject" to decline (with confirmation). Once approved, the officer or school sees their normal Dashboard next login (or immediately, on refresh, if already logged in).

Tip: anyone who manages that Zone/Chapter/State β€” not only the person the registration was aimed at β€” can approve or reject it. A State officer can approve a Zone registration directly.

Support 8. Getting Help (Membership & Hierarchy)+

Contact the System Provider (Bluepip Integrated Services) directly for: adding a brand-new State, creating/changing the National-level structure, recovering an account with no EXCO officer above you available, anything that looks like a technical error, or bulk changes (e.g. importing many schools at once).

For day-to-day questions about your own School or EXCO account, start with the EXCO officer directly above you β€” Zone, then Chapter, then State.

Part 2 Β· Payments & Disbursement

9.1–9.3 9. Paying Dues (School Accounts)+
School

"Pay Dues" is where a School pays what it currently owes. With several branches, dues are shown and paid for whichever branch is currently Active β€” switch branches from your Dashboard first if needed.

  1. Opening "Pay Dues" lists every open due applicable to your school, with the AFED Charge. Nothing outstanding shows a plain confirmation.
  2. Choose "Pay with Paystack" or "Pay with Flutterwave" (only methods your State enabled show).
  3. See the full breakdown: AFED Charge, a separate Transaction Charge (the processor's own cost, not an AFED fee), and the Total.
  4. Click "Confirm & Pay" β€” you're taken to the gateway's secure page, then brought back automatically once payment completes.
Tip: the Transaction Charge only appears once you've picked a payment method, since it differs slightly between Paystack and Flutterwave.

Payment History lists every payment ever attempted β€” date, term, amount, method, status (Paid/Pending/Failed). If a payment stays Pending longer than expected, click "Check Status" to re-check directly with the gateway.

10.1–10.4 10. Managing Dues (State & Chapter EXCO)+
ChapterState

Dues terms are opened and priced by State and Chapter officers only β€” a Zone EXCO does not see this section.

State: opening a term for every Chapter

Enter a New Term Name (e.g. "1st Term 2025/2026") under your State's card. Leaving Amount blank opens the term for every Chapter but lets each set its own figure β€” useful when Chapters charge differently. Click "Open for All Chapters".

Chapter: setting your own amount

If your State opened a term without an amount, it appears with a notice that it's waiting for your figure β€” enter the Amount (₦) and click "Save Amount" and confirm.

Contact the System Provider: once a Chapter-set amount is saved, only your State officer or the System Provider can change it afterward β€” double-check before saving.

Open vs. closed terms

A term stays "Open" for as long as schools should be able to pay it. Close a term once its period ends; it can be reopened later if needed. Every other already-priced term is shown to a Chapter officer read-only.

11.1–11.3 11. Accounting Reports+
ZoneChapterState

"Accounting" gives every EXCO officer a live report of dues payments within their scope: Date, School, Code, Chapter, Term, AFED Amount, its National/State/Chapter split, and Status. Search by school, code, chapter or term, and filter by Status or (where scope covers more than one) by Chapter β€” all updates are instant.

Tip: every payment reference now starts with the paying school's Code (e.g. "AFED-IKO014-…" is instantly recognisable as Ikorodu Zone's 14th school) β€” use "Code", not "Reg. Code", to match against bank alerts or gateway dashboards.

State only: confirming funds sent to National

A "National Balance" card shows the total National share collected but not yet recorded as sent. Actually transfer the balance via your own banking arrangement first β€” this page never moves money itself β€” then optionally enter a reference/note and click "Confirm Sent to National". A "History" table below shows every past confirmation.

12.1–12.3 12. Setting Up a Payout Account+
ZoneChapterState

Every dues payment splits automatically between National, State and Chapter. For a Chapter or State's share to actually reach them, a real bank account needs to be on file. Until then, a Zone falls back to its Chapter's account, and a Chapter falls back to its State's.

  1. Choose a Gateway (only ones your State enabled show) and your Bank.
  2. Enter your Account Number and click "Verify Account" β€” AFED checks it directly with your bank and shows the real account name.
  3. If correct, click "Confirm & Submit Request".
Tip: you're never asked to type your own account name β€” it's always resolved from your bank, so it can never be entered incorrectly.

A Site Administrator reviews the request before it goes live β€” nothing settles into it until approved. You'll see the outcome next time you visit the page.

For a specific payment or due amount, start with the EXCO officer directly above you.

Part 3 Β· Events

15.1–15.3 15. Managing Events (EXCO)+
ZoneChapterState

A Zone officer can host at their own Zone; a Chapter officer at their Chapter or any Zone beneath it; a State officer anywhere in their State.

Tip: Schools see a section also called "Events" β€” but it shows browsing/registering (Section 16), not hosting. You only ever see the one matching your account type.

Hosting a new event

  1. Choose the Hosting Node β€” this cannot be changed once created.
  2. Enter Title, Description, Location.
  3. Enter Start Date/Time (End optional).
  4. Enter a Fee (₦) β€” 0 for free β€” and optionally a Capacity (blank = unlimited).
  5. Click "Create Draft Event" β€” new events always start as a Draft, invisible to schools.

Publishing, closing, cancelling

Draft β†’ click "Publish" when ready for schools to see it. Published β†’ visible and open; click "Close" once registration should stop. Closed β†’ no new registrations, existing ones and access codes stay valid. Cancelled β†’ available from Draft or Published at any time. A Closed/Cancelled event can be permanently deleted from the list (removes the listing only β€” payment records and issued access codes are always kept).

Click "View registration(s)" under any event to see every confirmed school β€” a row appears the instant a free registration completes or a paid one clears. Pending/failed payments never appear here.

16.1–16.4 16. Registering for Events (School Accounts)+
School

Shows every published event visible to your school β€” hosted at your own Zone, or any Chapter/State above it. Each card shows date, location, host, description and fee (or "Free"); already-registered/closed/full events say so instead of offering registration again.

  • Free event β€” click "Register (Free)"; you're registered immediately with your access code shown on screen.
  • Paid event β€” choose Paystack or Flutterwave, review AFED Charge / Transaction Charge / Total, click "Confirm & Pay" β€” same flow as paying dues (Section 9).

"Your Registrations" lists every event you've registered for with its Access Code β€” keep this for check-in at the event. A paid registration only appears once payment actually clears.

Events shares its payments infrastructure with Part 2, so the same System Provider boundaries apply (gateway configuration, disbursement splits). Setting up a payout account for a node that hosts events uses the same self-service page as Part 2, Section 12 β€” nothing separate to set up. A platform-wide view of every event exists, but only as System Provider tooling.

For a specific event, start with whoever is hosting it.

Part 4 Β· CBT

19.1–19.3 19. CBT Access (School Accounts)+
School

"CBT Access" is where a School requests or buys student test slots during its State's current CBT Access Period. If none is open, the page tells you so.

  • Free Period β€” enter how many slots you need and confirm; slots are granted immediately.
  • Paid Period β€” enter slots needed, review the fee (rate Γ— slots), choose Paystack/Flutterwave, and pay β€” same flow as dues.

Once active, this page shows your School's Access Code and student registration link (also emailed). Topping up: within the same open Period, click "Request More Slots" β€” your existing Access Code stays exactly the same; it only ever adds to your total.

Tip: share the code and link with your own students only. If shared too widely, ask your State EXCO to reset it (Section 20.2) β€” a new code issues immediately without affecting already-registered students.
20.1–20.2 20. CBT Access Overview (Zone, Chapter & State EXCO)+
ZoneChapterState

EXCO officers see the same "CBT Access" section as a read-only overview of every school in their scope: Code, "Has access"/"No access", and declared slot count.

Resetting a school's code (State EXCO only): click "Reset Code" beside a school and confirm. The old code stops working immediately, a new one is generated and emailed, and already-registered students are completely unaffected β€” this only changes what a code lets a new student register with.

21.1–21.2 21. Managing CBT Students (School & EXCO)+
SchoolZoneChapterState

"CBT Students" lists registered students β€” a School sees only its own; an EXCO officer sees every student in scope, with School and Code columns to tell them apart. Each row shows name, class, username and gender.

Resetting a password: click "Reset Password" beside the student and confirm β€” the new password is shown once, directly on the page. Write it down immediately and share it with the student β€” AFED never stores or re-displays it. A School can reset its own students' passwords; an EXCO officer can reset any student within their scope.

22.1–22.5 22. Taking a CBT Test (Students)+
CBT Student

A CBT Student account belongs to an individual student, not a School or officer, and can only do what's in this section.

Registering & logging in

  1. Open the registration link your school gave you, enter the Access Code, click "Continue".
  2. Fill in Full Name, Date of Birth, Gender, Class, then "Complete Registration".
Tip: your username and password are shown once, immediately after registering, and never again β€” write them down. If forgotten later, only your school can reset it (Section 21.2).

Students log in from a separate Student Login page β€” not the same page a School or EXCO officer uses.

Taking the test

Your Dashboard shows "Available Tests" (question count, time limit, attempts left) and "Your Results". Click "Start Test" (or "Resume/Retake"), answer each question, watch the countdown timer β€” the test auto-submits at zero with whatever's answered. Use Previous/Next or jump to any page directly on multi-page tests; a fully-answered page is marked. Click "Submit Test" and confirm when finished. Score, pass/fail and a correct/wrong/skipped breakdown appear immediately, and are saved to "Your Results".

Part 5 Β· Exam Registration

25.1–25.5 25. Registering Students for an Exam (School Accounts)+
School
Tip: a school with outstanding Termly Dues cannot register new exam students until dues are cleared β€” already-registered students can still be viewed and paid for.
  1. Start a batch β€” enter the number of students to register, click "Start Batch". This opens that many slots; nothing else unlocks until this step is done.
  2. Add students β€” fill in Full Name, Date of Birth, Gender, Home Address, click "Add Student". Unpaid students can still be edited/removed; once paid, a record locks.
  3. Add more slots β€” "Add More Slots" only ever increases the total, never below the number already added.
  4. Pay β€” click "Pay for Unpaid Students"; every unpaid student is selected by default (untick to pay later β€” partial payment is fine). Choose a gateway, review the breakdown, "Confirm & Pay". Same flow as paying dues.
26.1–26.2 26. Exam Registrations Overview (Zone, Chapter & State EXCO)+
ZoneChapterState

Lists every registered student in scope β€” student, School and Code, gender, payment status. For a Chapter or State officer this is entirely read-only (a deliberate scope decision to avoid a payment being applied to the wrong school's batch from further up the structure).

Zone EXCO β€” paying on behalf of a school: under "Pay for a School", every school in the Zone with unpaid students gets a one-click "Pay in Full" option (for a school that pays cash and asks the Zone to complete payment online). This always covers every currently-unpaid student for that school β€” no picking individual students.

Tip: the receipt is always sent to the school's own email address, never the Zone officer's.

Part 6 Β· Communications

29.1–29.3 29. Sending Messages (Zone, Chapter & State EXCO)+
ZoneChapterState

Any Zone, Chapter or State officer can email Schools or fellow EXCO officers within their own reach β€” every message goes out by email; there's no separate in-portal inbox for recipients.

  1. Under "Send To", choose Schools or EXCO Officers (and, for officers, the Level). Everyone in reach is ticked by default β€” untick or use "Select All"/"Deselect All" to narrow it down.
  2. Enter a Subject and Message. Click "Insert: Recipient's Name" to drop a placeholder auto-replaced with each recipient's own name.
  3. Click "Send Message".
Tip: ticking/unticking a Chapter or Zone automatically follows through to the Schools beneath it β€” narrow at the top level to reach a specific part of your structure fastest.

"Messages You've Sent" lists every message sent β€” date, subject, who it went to, and how many it reached.

30.1 30. Broadcasting to States (National-Only Accounts)+
National

Only available to a National-level account. Tick one or more States, or leave every box unticked to reach every State at once; enter Subject and Message; click "Send to States".

Tip: a National broadcast only ever reaches State-level EXCO officers directly β€” never a Chapter, Zone or School. Getting it further down a State's structure is a deliberate second step (see Section 31).
31.1 31. Messages from National (State EXCO)+
State

"Messages from National" shows every National broadcast addressed to your State. To relay one to your own Chapters, Zones and Schools: click "Relay to My State" β€” you land on "Send Message" (Section 29) with Subject and Message already filled from National's original; edit the wording to fit your State if needed, choose recipients, and send as usual.

Relaying is always a deliberate, editable step β€” a National broadcast never reaches a Chapter, Zone or School automatically. This lets every State localise a message before it goes further.

Contact the System Provider for: email templates for automatic notifications, SMTP/email delivery setup, a platform-wide delivery log, or adding a new merge tag beyond "Recipient's Name". For a message you expected but never received, start with whoever should have sent it before assuming a delivery problem.

Part 7 Β· Resource Bank

34.1–34.2 34. The Resource Bank (School Accounts)+
School

A School-only benefit β€” a library of resources (documents, question banks, e-notes) organised into categories for your State. It doesn't appear for EXCO accounts at all.

If your school's Termly Dues are fully paid, every category and resource is shown as a direct link. If dues are outstanding, you still see category names and how many resources are waiting β€” but not the resources themselves, as an incentive to pay rather than something hidden entirely.

Unlocking: click "Pay Dues Now" on the locked screen (or go to Pay Dues directly, Section 9) and clear what's outstanding β€” the Resource Bank unlocks automatically the moment dues are fully paid, with no separate request step.
